One list, several conversations

Your list is not one audience. It holds people who booked a call last month, people who bought a course two years ago, people who joined for a free checklist and never opened anything since. Sending all of them the same email means it is slightly wrong for everyone. Segmentation lets you hold several conversations at once. Past clients get the referral ask. Warm leads get the case study. Cold subscribers get a short re-engagement note or a quiet exit. Each group hears something that fits where they are, which is why segmented emails earn more replies and fewer unsubscribes.

How segmentation works in Maildesk

Tags are the foundation. Apply them from forms, from automations, by hand, or through the API, and use them to mark interests, stages and sources: "downloaded pricing guide", "booked call", "client 2026", "came from podcast". Build a segment by combining tags with activity such as opened or clicked in the last 30 days and with the form someone joined through. Save the segment once and reuse it for every campaign and automation. Because segments are dynamic, a subscriber who books a call this afternoon moves out of "warm leads" and into "booked" without you touching anything.

What makes Maildesk segmentation different

Enterprise tools offer segmentation engines that need a data analyst to operate. Maildesk keeps the model simple enough for a solo practice to use every week: tags, activity and source, combined in plain language. Segmentation is also available on every plan, so you do not have to grow into a higher tier before you can send relevant emails.

Advanced Segmentation FAQs

What is the difference between a tag and a segment?
A tag is a label on a single subscriber, such as "booked call". A segment is a saved rule that selects subscribers by combining tags, activity and sign-up source, such as everyone tagged "downloaded guide" who has opened an email in the last 30 days. Tags are the raw material; segments are how you use them.
Can segments update automatically?
Yes. Segments are evaluated when you send, so anyone who gains or loses a tag or becomes active or inactive is included or excluded automatically. You never need to rebuild a segment by hand.
Can I trigger an automation from a segment?
Automations trigger on tags, form sign-ups and subscriber activity. To automate based on a segment, add a tag to the people in it, either from an automation step or through the API, and use that tag as the trigger.
Is segmentation available on the Free plan?
Yes. Tagging and segmentation are included on every Maildesk plan, including Free, so you can send relevant emails from day one.
